Try to respond to emails as soon as you can – especially if it is an email from a client making an enquiry or looking to buy.

When you receive an email from a client you can almost guarantee that your client is, there and now, looking to you to solve their problem.

Responding quickly will ensure that your company is in front of and in the top of the mind of the client – they are looking for answers and if you can provide the answer they are looking for quickly, you will keep the client happy and give yourself a better chance of getting the sale/job.

The longer you wait to respond to an enquiry, the more chance there is of the client looking to find the answer to their problem from someone else, the client has time to phone someone else, to do another search on Google etc – you do not want them to do that do you.

If you can provide the answer to their problem quickly, they will often buy your product/book your service there and then. Your clients are often busy people, they haven’t got time to waste searching around, they want the answer now – and if your product / service answers their problem at what they consider to be a reasonable price – they will buy / book there and then, and move on to the next problem they have to solve.

Your Email Signature

I believe all your business emails sent should have a standard email signature at the bottom.

Include:-

  1. The complimentary close  – depending on how formal your business is and how well you know the person your are responding to Yours Faithfully, Yours Sincerely, many Thanks etc.
  2. Your Name – John Smith
  3. Your Title – Sales Assitant
  4. Your company’s full name and postal address – The Firm, 24 The Avenue, Dunroaming, Commonshire ME67 8YT
  5. Your landline telephone number – 01795 429883
  6. Your mobile telephone number – 07893 546188
  7. Your email address – johnsmith@thefirm.org
  8. Your website address – http://www.the firm.org
  9. If required by law your company number and VAT number

I would also include links to your social media account – Facebook, Youtube, LinkedIn, Google My Business etc

I would also think about adding some links to your web pages that might be of interest to your customer – maybe details of a related product, your latest blog post about what they are enquiry about, your FREE pdf article download – they might not click on them but if your link piqued their interest you might get another sale out of it.

Make it as easy as possible for your customers to be able to contact you – include as many contact methods as you reasonably can / you use – they may of contacted you via email but many will like to chat on the phone afterwards.
